As in any field, the organization of corporate events such as conferences and incentives requires a planning and implementation process that consists of several stages:
- Develop a strategy: You should always define goals and a roadmap to guide you through the process. This phase must determine what the event should achieve.
- How it should be, what resources are available, and to whom it is direct. Without these data, a significant event cannot remain reach, nor can the subsequent evaluation of the achievement of the objectives be traced.
- Production: The second phase is when you have to organize the necessary things for the act to begin. Find vendors, find a venue, create a guest list, call speakers, attract sponsors, plan, and promote event communication. All of the above steps are there to prepare all the necessary resources for the celebration.
- Start: This is the moment of truth, the realization of the event. The moment when everything that has remained planned for months gets underway. And everything has to go well for the event to be a success. During the event, you will need to go into great detail with the participants delivering the final verdict and the event staff pitching it and staying at the cannon base throughout the event.
- Evaluation: It is time to measure the results, and the famous ROI (Return on Investment) will emerge. Have the objectives been met? Did the participants manage to build a network? If the answer to these questions is yes, the event will be a great success.

Event planners frequently make some prevalent mistakes when planning an event that are best not made as they tend to look bad. Some of the most common mistakes are:
- Improvise: never improvise at an event. The day of the celebration must remain perfectly planned and timed to avoid last-minute problems. The organization is the best ally of an event planner.
- Information overload: Information overload can be a problem. It is worth designing a simple program with a few points, but interesting to try to convey too many ideas that can satisfy the participants.
- Remember that an adult’s attention span is approximately 30 minutes.
